Step-by-step documentation on how to configure and run the school scheduler.

1. Administrative Setup

To begin, register or sign in to your coordinator account. Once inside the Dashboard, configure your school parameters:

Set working days (e.g., Monday through Friday or Saturday).
Set default periods per day (e.g., 8 periods per day).
Insert break times (such as recess after period 4) to ensure teachers aren't assigned to classes during breaks.

You need to register two main data entities: Classes (sections) and Teachers.

Adding Classes: Select the Class Registry panel. Enter names like "Grade 6-A", "Grade 6-B" etc.
Adding Teachers: Go to the Teacher Roster panel. Enter names, select their subject areas (like Mathematics, English, Science), and click save.

💡 Pro Tip: You can bulk-import teachers and class records using a template in Excel, saving you time.

Before launching the engine, you must establish workload boundaries:

Subject Allocation: For each section, assign how many lectures of a subject are needed per week (e.g., Grade 6-A needs 6 periods of Math per week).
Teacher Assignment: Assign which teacher takes which subject in which section.
Constraint Specifications: Set the maximum daily teaching periods for each teacher (e.g., no more than 5 periods per day) and limit consecutive lectures.

Once data constraints are loaded, click the "Generate Timetable" button.

The AI engine runs scheduling permutations, checking constraints in real-time.
After rendering, the scheduler checks for overlaps. Red badges will warn you if any teacher has a collision or exceeds limits.
You can adjust rows manually by clicking slots and swapping assignments. The engine will instantly re-audit the changes.

For daily substitution management:

Select the "Arrangements" module from the sidebar.
Choose the date and select teachers who are absent today.
Click "Find Substitutes". The system will automatically recommend free teachers of the same subject area, making arrangements in one click.
