Detailed Step-by-Step Walkthrough

Step 1: School Registration & Admin Setup

Click on "Register School" on the homepage. Provide your school name, unique school email, a secure password, and create a unique School ID (e.g., SCH-101). Note: The School ID must be unique across the platform as it acts as your cloud database workspace identifier. After registration, you will receive a verification email — click the link to activate your account.

Step 2: Define Working Days & Periods

Once logged into the dashboard, navigate to the "Working Days Configuration" panel and select the days your school operates (e.g., Monday to Saturday). Next, configure your school timings: total number of periods per day, each period duration (e.g., 40 minutes), the school start time, and your lunch break start/end times. You can also use the optional "Customize Individual Period Timings" feature to override specific periods with different durations.

Step 3: Populating Your Registers (Excel Upload)

Add subjects (mark mandatory subjects with the ⭐ icon), classes along with their class teachers, and a teacher database with names and designations. For large schools with 30+ staff members, use the "Upload Excel" feature in the Teachers section to add all staff in bulk. Download the demo template first to see the correct format. Ensure all name and designation fields are properly populated for accurate arrangement recommendations.

Step 4: AI Constraints & One-Click Generation

Review the teacher-class constraints under the Dashboard tab. The system uses a constraint-based algorithm that enforces zero-overlap rules: no teacher can be assigned to two classes in the same period, mandatory subjects get specialist teachers, and workloads are distributed fairly. Click the "AUTO GENERATE TIME TABLE" button and the engine runs thousands of scheduling combinations in milliseconds to produce a conflict-free consolidated master grid.

Step 5: Daily Arrangement (Substitution Handling)

If a teacher is absent, go to the "Daily Arrangement" tab. Select today's working day, then click on the absent teacher's name pill to mark them absent. The smart arrangements panel immediately scans the generated timetable for periods requiring substitution. For each affected period, it identifies free teachers and presents them as selectable options. Assign substitutions instantly without disrupting the rest of the schedule.

Step 6: High-Fidelity Exports

Click the "Print" button in any timetable view (Consolidated Master, Class-wise, or Teacher-wise) to open the system print dialog. Alternatively, use the "Word" button to download a fully styled Microsoft Word (.docx) file ready for printing on school letterheads. The "Excel" button generates Auto-fit Excel sheets where column widths automatically adjust to perfectly accommodate even the longest teacher names without any text clipping.

Step 7: Manual Editor & Drag-Drop

For fine-grained control, use the Manual Editor module. Click "Start Blank Timetable" to initialize a fresh grid using your current dashboard settings, or directly modify the auto-generated schedule. Drag-and-drop teacher periods across the grid, and the system performs real-time conflict validation — instantly highlighting clashes if a teacher is already assigned elsewhere. Save changes to cloud in a single click.

How long does the AI timetable generation take?

For a typical school with 15–25 classes and 30–50 teachers, the AI engine generates a complete conflict-free schedule in under 5 seconds. Larger schools with complex constraints may take up to 15 seconds.

Can I modify the timetable after it is generated?

Yes. Use the "Manual Editor" to drag-and-drop teacher-period assignments, or click on any cell in the Consolidated Master view to edit it directly. The system will validate conflicts in real-time as you make changes.

Is my school's data secure on the cloud?

Absolutely. Each school is assigned an isolated database workspace identified by its unique School ID. We use Firebase Authentication for login security and SSL/TLS encryption for all data transfers. No other school can access or view your data.

Can multiple devices access the same school account?

Yes, the platform supports real-time cloud synchronization. Any changes made by an admin on one device are instantly reflected across all other logged-in devices — including desktops, laptops, tablets, and mobile phones.

What file formats are supported for data import?
